- Contact
- This database was designed for the sales
department of a company with 15 employees It enabled
each person to add their own notes to the contact and
schedule their own follow-up, yet all of the
information was contained as a summary within one
record. Anyone viewing the record could be current on
all of the ongoing topics with the client.
- Expense Report
- This was designed for an international company
who's salespeople travel worldwide and conduct
business on many different projects during the course
of sometimes one meeting. Each project would have its
own charges and expenses that needed to be tracked by
contract and from within the company. The solution
allowed for the conversion of up to five currencies on
any given day and for the disbursement of the expense
on either a percentage or actual dollar amount among
the then current projects the salesperson was
representing.
- Sales Management
- For a independent manufacture representative, the
solution was to provide an automated way to write the
invoices for each individual manufacturer represented.
In addition, knowing what, how much, and when it was
sold was also provided.
It is now possible for the rep to view the customer
record and see actual invoice summaries for each
company represented. In addition, the record and data
reflect what was sold in the current year, past year
and how much was shipped from each manufacturer to
that one customer. The user can also record notes, so
when speaking to the customer he can remind them or
follows up with them, before they ask the question.
Also included is the ability to track commissions paid
against the invoices submitted, thus closing the
circle.
- Contracts
- A very unique situation for a multi-media fortune
500 company which tracks their sales contracts on a
international basis. While each contract when entered
into has the normal start and end date, the uniqueness
was that the terms of the contract are fluid, in that
they can vary on a month to month basis over the life
of the contract. This ability to track, calculate and
control their services based upon these variable terms
was done in such a manner so as to replace many
duplicate spreadsheet reports and to provide senior
management with previously unheard of detail statics.
- Event Management
- A multitude of databases used to coordinate the
people and equipment used during the 1996 Atlanta
Olympic Games. This is a hats off to FileMaker, in
that the majority of the data entry was performed by
volunteers, many of whom had never operated a
computer, let along a database.
- Invoice
- A major real estate company invoices their agents
for office space, copies, etc.. In addition, as it is
unlawful for the agent to receive a direct commission,
they are paid their percentage by their real estate
company. There is also the delay of payment for
insurance policy commissions because the insurance
company sometimes take up to 60 days to remit. This
invoicing system brings together all of the above for
the company and agent and in turn generates reports
for both the agent and management as to who, what,
when, where and how.
- Accounting
- A solution for an independent maintenance
contractor who bills for his time and is reimbursed
for his materials on a cost plus basis. The solution
generates invoices, keeps track of the materials by
invoice and produces the necessary reports by customer
for the week, month, quarter and year, as well as the
summary reports on each. Coupled with an accounts
receivable report, this independent businessman knows
at any time his cash position.
- Credit Department
- For a fortune 500 company operating in the
Southeast, this database solution tracks each
application submitted, scores the credit based upon
the credit report(s) and communicates to the
salesperson, sales manger and regional manager the
status. Provision is also make for notes and
responsibility in extending credit. The solution
accounts for various payment types, commitments from
the customer, etc. and includes a reminder
option.
These are but a few of the various disciplines that I
have designed for, and do not include all of the solutions
completed. You can see a broad spectrum of industry and
service, yet the one underlying common feature is the power
of FileMaker Pro.
As you can see, my custom design databases are used by
both the large corporation as well as the individual home or
small business user.
It is possible for you to have a database designed to
operate as you choose, that will utilize the topics and
details of your profession as you like them. No longer will
you have to rely upon the generic terms of Sub-total, Total
and Dear Sir. To the contrary, your field headings will be
items you are familiar with, and your reports will provide
the information you are seeking, not what some unknown
programmer, accountant or attorney has designed for everyone
to use.
Like everything else, there are two ways to customize a
database. The right way and the wrong way. The wrong way if
often called, "on the fly", and while it may work today, it
will, given the opportunity to grow, probably cause problems
tomorrow.
